Closed Position - Administrative Support Assistant

Part Time Position

Position Summary: Performs highly responsible work involving a wide variety of independently performed skilled and administrative support tasks requiring:  word processing and database management; public contact; and related activities in support of Smithsburg EMS. 

 

JOB DESCRIPTION 

Responsibilities:

Provides staff assistance to the Officers.

Compiles data for SEMS, preparing reports, and assist SEMS administration (Officers and Board of Directors) with administrative tasks. 

Evening work is occasionally required E.G. monthly EMS Committee Meetings.

Word processing software to produce documents, meeting and giving information to the public.

Creating and maintaining filing systems or databases with a variety of subject matter to provide easy access to records and information. 

Assists with payroll information, career staffing, and process Invoices for Payment (IFPs), Purchase Orders (POs), and maintain and/or coordinate calendars and make meeting arrangements. 

Take minutes at Membership, Officer, and other meetings that SEMS Officers may Chair. 

Prepare and distribute minutes, agendas, packets, and other materials.

Schedules meetings and prepares reference materials. Comprehends and makes inferences from written material. 

Coordinates meetings, training sessions, etc.  Learns job-related material through on-the-job training and in classroom settings.

Updates SOP’s, Bylaws, and SEMS Employee Handbook revisions. 

 

QUALIFICATIONS

Combination of training, education, and experience equivalent to graduation from high school or GED. 

Extensive (2+ years) experience in a progressively responsible secretarial/administrative support capacity.   

Confidentially is a must.

Employee must be committed to teamwork, have a shared commitment to quality of everyday work, and demonstrate the willingness to assume ownership in completion of tasks.   

Must be an excellent communicator. Proficient with a PC including Excel, Word, PowerPoint etc.

Operates a variety of standard office equipment e.g. copiers etc. 

Must be able to lift 50 pounds.

Must have a valid Maryland driver’s license.

Basic English 101, spelling, grammar, and modern office practices, procedures, and equipment operations; PC software applications necessary to perform work. 

 

HOURS AND WAGES

20 hours weekly, may include nights for Committee Meetings
